HVAC, Airflow, Indoor Air Quality & Comfort

HVAC maintenance does not end with the equipment or thermostat. The complete system includes filters, coils, blowers, condensate components, supply and return-air pathways, ducts, insulation, registers, ventilation equipment, exhaust systems, and the parts of the property that affect airflow, moisture, and indoor air quality.

Identify the Complete HVAC and Air-Distribution System

Start with the indoor and outdoor equipment, thermostats and controls, filters, coils, blowers, condensate pans and drains, supply ducts, return ducts, insulation, registers, grilles, ventilation equipment, and exhaust systems.

Record available manufacturer, model, serial number, installation date, warranty, service history, and maintenance information. Update the property record whenever equipment or components are serviced, repaired, modified, or replaced.

Document What the Maintenance Visit Includes

HVAC maintenance can mean different things depending on the property, equipment, and service agreement. Record exactly what was inspected, cleaned, adjusted, measured, repaired, or excluded.

Check Filters Regularly

Review filters according to the equipment manufacturer’s instructions and the conditions at the property. Replacement frequency can vary with filter type, equipment requirements, occupancy, pets, renovations, dust-producing activities, and other property conditions.

Record the filter size, type, condition, installation direction, cleaning or replacement date, and next planned review.

Check Filter Fit, Direction, and Bypass

A filter must fit correctly and be installed in the proper direction. Gaps can allow air to bypass the filter, while an overly restrictive or incompatible filter can interfere with required airflow.

Inspect Condensate Pans and Drainage

Cooling equipment removes moisture from the air. That water must be collected and discharged through the condensate system.

Moisture affecting nearby materials
Discharge location functioning as intended

Check Whether the System Moves the Required Air

Airflow should not be judged only by whether air can be felt at a register. The system must move the airflow required by the installed equipment and distribute conditioned air through the property.

Insufficient airflow can affect comfort, temperature consistency, humidity control, equipment operation, condensate behavior, performance, energy use, and service life.

Confirm Supply Air Reaches Every Room

Use a room-by-room record to identify weak, excessive, or missing airflow, uneven temperatures, recurring hot or cold conditions, excess humidity, stuffiness, unusual air noise, and blocked or damaged registers.

Confirm the System Can Pull Air Back

Supply air enters rooms, but appropriate return-air pathways are also needed. Blocked returns, closed doors, restrictive filters, duct problems, and inadequate circulation paths can interfere with comfort and system operation.

Check Accessible Ducts for Leakage and Damage

Inspect accessible supply and return ducts for conditions that allow air to escape before reaching the intended room or prevent air from returning to the system.

Moisture or deterioration near ducts

Check Accessible Duct Insulation

Inspect insulation around accessible ducts, joints, bends, fittings, and connections. Wet or damaged insulation should be documented with the surrounding moisture conditions, and the moisture source should be investigated.

Indoor Air Quality Starts With Source Control

Filtration cannot correct every indoor pollutant or moisture source. Indoor-air-quality planning should first identify and address observable sources where possible.

Ventilation and Uncontrolled Air Leakage Are Not the Same

Uncontrolled air can enter through gaps, ducts, attics, crawlspaces, garages, openings, and penetrations. Planned ventilation intentionally brings in or removes air where the property needs it.

The maintenance record should distinguish planned outdoor-air ventilation, local exhaust, building-enclosure leakage, duct leakage, and air movement from attached or concealed spaces.

Exhaust Moisture and Pollutants at the Source

Kitchen and bathroom exhaust systems help remove moisture and pollutants where those conditions are produced. Moisture and pollutants should not be redirected into attics, wall cavities, crawlspaces, or other building areas.
